The company’s Content Management landscape is extensive, supporting a wide range of business processes and systems such as trading, finance, accounting, and service management. 
Both cloud-based and on-premises systems are connected through OpenText Content Management, which acts as Glencore’s central repository for unstructured business content and records subject to consistent Records Management policies.

As a lighthouse customer for AnswerModules’ Content Management for Everything feature, Glencore has implemented multiple connectors linking the platform with its business applications, progressively migrating legacy OScript and WebReports solutions to the more modern Content Script framework powered by Module Suite.

This architecture underpins millions of business workspaces associated with business activities such as trades, vessels, voyages, contracts, invoices, and regulatory obligations.
The Challenge
Commodity trading inherently involves constant interactions with a large ecosystem of external and third-party stakeholders - including buyers, sellers, regulators, financial institutions, insurers, and logistics providers.

Most of these interactions occur via email, often accompanied by trade-related documentation such as shipping documents, invoices, and contracts.

Managing this flow of communications presented several challenges:
  • Volume and complexity: thousands of messages and attachments generated per trade, across multiple teams and business units.
  • Fragmentation: critical correspondence and documents were dispersed across personal and team mailboxes.
  • Manual filing: users had to manually file trade-related emails and attachments into Content Management.
  • Compliance risk: ensuring complete and accurate filing of all trade records was a regulatory requirement, but manual handling created inconsistencies.

Glencore needed a way to connect its email-based communication workflows with its Content Management repository, ensuring all messages and attachments could be filed and retrieved contextually - in line with corporate Records Management policies.
The Solution
To meet these challenges, Glencore integrated its specialist email solution, Sedna, with OpenText Content Management using Module Suite.

The integration bridges the company’s cloud-based Sedna environment and its on-premises Content Management, ensuring a seamless, compliant link between communication records and business workspaces.

The implementation, supported by Kwe.li, focused on automating and contextualizing filing through the use of Job Reference Tags - unique identifiers representing business objects such as trades, contracts, vessels, or voyages.

These tags ensure that every email and attachment is automatically associated with the correct workspace, classification, and metadata inside Content Management.
Solution key points
Job reference tag synchronization
Sedna is automatically populated with Job Reference Tags derived from Glencore’s trading and operational systems. These tags mirror Content Management business workspaces, maintaining contextual alignment between communications and records.
Contextual filing
Emails and attachments are automatically filed into Content Management based on their tags, ensuring that every communication is connected to its relevant business object and stored under the correct folder or classification.
Unified UX
Content Management workspaces are surfaced directly within the Sedna user interface, allowing users to switch between Sedna and Content Management views, file messages or attachments, and attach Content Management content to outgoing messages - all from within Sedna.
Reporting and traceability
Integrated reporting capabilities provide visibility into the filing status of messages and attachments tagged with specific Job References, helping compliance teams verify completeness.
Secure cloud-to-on-prem architecture
The integration uses a ring-fenced connectivity model with limited, purpose-built APIs. The middleware layer is isolated from internal systems and adheres to strict network zoning and access control, ensuring secure and compliant data flow.
Implemented using Module Suite
The solution leverages the Module Suite platform as the integration layer for Content Management, enabling Glencore to extend its existing ECM capabilities without custom code and to standardize future connectors.
The Results
The integration automated the capture and filing of trade-related emails and attachments, ensuring compliant, auditable records within Content Management. It eliminated information silos, improved auditability, and increased efficiency by allowing users to work directly from Sedna, all within a secure and governed architecture.

Glencore plans to build on this foundation with further automation, including PDF attachment splitting and AI-assisted tagging and filing.
